Post-Secondary Preferred Lender Lists

At the December 2019 All Partner Meeting (APM), BC ELN Partner Libraries brought a recommendation forward to the Steering Committee that ILL transaction fees for non-returnable items should be eliminated within the BC ELN consortium, with the understanding that identified considerations will be addressed through Benefits & Responsibilities and Best Practices documentation.

Post-secondary libraries, are recommended to optimize their Copy and Loan load leveling preferred lender lists according to the Best Practices recommendations as follows:

• Non-returnable (Copy) Requests: As of November 2024, post-secondary libraries have had their new Non-Returnable copy lender list optimized according to BC ELN best practices.
  
  Post-secondary institution Copy lender lists are organized from smallest-to-largest library (by current year student FTE), regardless of geography or institution-type (eg. College or University). Public library lenders are not included as they are separately pulled in, after post-secondary lenders, via the System-wide lender list.

• Returnable (Loan) Requests: For Post-secondary institutions, Loan requests use the "Preferred" lender list available under Staff Dashboard > ILL Admin > Configuration > Configure Lender Lists. This currently defaults to the same order as the Non-Returnable lender list unless your library has customized your lender list configuration.
  
  Post-secondary institutions can customize their Loan lender lists according to the recommended geographic options below. If you would like assistance please contact us!

Custom Preferred (Loan) Lender List:

To edit your Preferred Lender list to add a geographic factor for Returnable (Loan) requesting please add all four geographic areas below in your desired order. BC ELN recommends post-secondary institutions maintain the smallest-to-largest (by current FTE) order recommended for each geographic section. But libraries can choose the order of each geographic section as desired. Please note you must include all geographic sections in your Preferred lender list in order to prioritize your requests being sent to other BC ELN academic institutions first.

1. SHAREit Administrators can login to access your Staff Dashboard > ILL Admin > Configuration > Configure Lender Lists section.
    
2. Select your "Preferred" lender list to add or organize your lender codes by geographic location for Loan requests. This currently defaults to the same order as the Non-Returnable lender list.
    
3. Do not update any other settings such as the Name or Algorithm as these are already optimized to our consortia-wide desired settings. These should currently say the following Name (Preferred), Algorithm (Ordered) and Continue to System Wide (selected "Continues to System Wide lender list after Preferred list"). Please leave the section on Default Lenders blank as the Illume consortia does not currently use this feature.
   
   
    
4. In the Lenders section, organize the institutions for your four (4) recommended geographic sections from closest-to-furthest as desired. For example, Vancouver Island post-secondary libraries may wish to order their sections as Vancouver Island, Lower Mainland, Kootenay-Okanagan, and Northern.
    
5. All institution names should already be included in the "Lenders" section and administrators can just drag and drop them into the appropriate geographic order recommended below. But if an institution is missing, click the "Add Lender" button to search and select a lender/code.
   
   
    
6. Don't forget to click the "Save" button to save your changes/updates!

Please Note: Public libraries are not included below in the recommended geographic groupings as they're instead pulled from the System Wide lender list. Requests sent to public libraries will continue to go from smallest-to-largest available lender after all Post-secondary lenders have been tried.
